    The Proposal Coordinator supports the proposals department with proposal deliverables and leading smaller proposal management efforts as needed. The Proposal Coordinator is responsible for the preparation and on time delivery of all quotations as well as assisting in the execution of all RFP, RFI, RFQ, and SOW procurement deliverables.

    Essential Duties and Responsibilities

    • Ensures adherence to proposal department guidelines and processes

    • Inspects and edits own work and other team members for clarity and conformance to RFP requirements

    • Prepares annotated template

    • Prepares proposal production outline

    • Prepares schedule/calendar in conjunction with the Proposal Developer (PD)

    • Participates in proposal kick-off calls, review debriefs, and other proposal calls as appropriate

    • Manages the document to include integration of edits/inputs

    • Formats the document per RFP requirements and company/department branding in a fast-paced deadline-oriented environment

    • Archives various proposal content

    • Escalates conflicts and issues to proposal leadership as required

    • Responsible for proposal assembly (prepares cover design, spines, backs, prints all proposal documentation)

    • Acts as a backup in PDs absence

    • Works with the marketing team to develop a plan for proposal graphic development

    • Interfaces daily with executives, managers, technical personnel, and pricing personnel.

    Minimum Requirements

    • Bachelor's degree preferred

    • 1-3 years of proposal coordination/development preferred

    • Demonstrated understanding of the different elements of the technical proposal (i.e. Management Approach, Transition In, etc.)

    • Ability to merge technical proposal elements together

    • Ability to multi-task and demonstrate attention to detail

    • Excellent communication and organizational skills

    • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint

    • Demonstrated ability to maintain proper attendance and punctuality standards

    • Ability to establish and maintain positive working relationships with other employees

    • Must be adaptable, flexible, and coachable

    • Must be proactive, able to work independently, and complete all assigned tasks

    • Ability to understand and follow oral and written English instructions

    • Must have the ability to work collaboratively and independent as required
