    Position Description:

    CGI U.S. Corporate Headquarters looking for a Front Desk Receptionist to join our team in our Fairfax office. As the Receptionist, you will be the first point of contact for visitors and the voice of our organization, providing exceptional customer service and administrative support to our clients, visitors, and staff. You will manage the front desk area, handle incoming calls, greet visitors, and perform various clerical and administrative tasks to ensure smooth office operations.

    Your future duties and responsibilities:

    • Welcome visitors and members in a professional and friendly manner, ensuring a positive first impression of CGI

    • Maintain visitor, employee, and department directories and logs

    • Follow security procedures, such as monitoring and issuing visitor badges. Maintain the visitor logs, manage sign-in procedures, and ensure security protocols are followed

    • Maintain a professional reception area while complying with office procedures, rules, and regulations

    • Provide administrative support as needed

    • Monitor and replenish office supplies as needed, ensuring essential items are always available. Replenish office snacks, coffee and beverages

    • Receive, sort and distribute daily mail and deliveries. Keep track of incoming and outgoing correspondence

    • Sign for required FedEx and UPS deliveries, notify recipient of delivery and deliver packages to recipients

    • Prepare outgoing mailings (which may include packaging, requesting a pickup, filling out a shipping invoice etc.)

    • Back-up to the office point of contact as needed

    Additional administrative duties as needed

    • Provide confidential administrative support to management team, as needed

    • Maintain administrative procedures related to facility requests, tickets, invoicing, etc.

    • Participate in special project assignments (Social Club Committee, CSR, etc.)

    Work environment

    • You will work in an office setting Monday-Friday, 8 am-5 pm

    • The position may require occasional lifting of light objects and extended periods of sitting and standing

    Required qualifications to be successful in this role:

    To be considered for this role, candidates should have a High school diploma/GED plus 2-5+ years of demonstrated success supporting a busy office and have a positive, can-do attitude. Attributes of a successful candidate include:

    • 2-5 years administrative support experience preferred

    • Proven experience as a receptionist or in a similar role, preferably in a professional office environment

    • Proficient Outlook skills

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office equipment (e.g., printers, scanners)

    • Ability to maintain confidentiality and handle sensitive information with discretion

    • Excellent communication and interpersonal skills, with the ability to interact professionally with a diverse range of individuals

    • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively

    • Professional corporate image combined with strong interpersonal skills

    • Positive attitude, team player mentality, and willingness to go above and beyond to provide exceptional service
