Senior Legal Administrative Assistant

Job Description:
JOB DESCRIPTION:
Arrange and schedule business meetings, travel arrangements and prepare itineraries
Provide back-up administrative support and assist with work overload
Act as a receipt custodian for expense bills and complete expense reports for the assigned team
Answer phone lines, which may entail taking accurate messages and handling calls with appropriate judgment
Manage sensitive and/or confidential documents and information
Order supplies, serve as an access control representative (ACR) and help to manage access requests
Prepare documents/presentations, edit, proof and compile information for various monthly reports
Analyze data for accuracy
Prioritize and manage multiple projects simultaneously
Act with a true sense of urgency and personal responsibility for results
Comfortable with process and process change
May assist with any ad-hoc projects for the teams and wider Legal Department as directed by the Business Support Manager or broader team
DESIRED SKILLS:
Solid organizational and prioritization skills
Effective written and verbal communication skills
Strong proof reading, grammatical and editing skills
Strong comprehension and listening skills
Displays ingenuity in anticipating and meeting unexpected situations
Domestic travel arrangement experience
Proficiency in calendar management for multiple leaders
Maximizes use of all resources
Proactively stays current on a variety of software programs while striving to advance or develop skills
Sound judgment
Comfortable with fast paced environment and working in a team setting locally and remotely
Experience working in corporate legal or law firm
REQUIRED SKILLS AND ABILITIES:
Ability to work independently and effectively prioritize multiple tasks from up to 9 attorneys and/or paralegals, balancing quality and productivity
Strong interpersonal skills and ability to interact with various leaders including senior executives and business partners
Strong analytical and problem solving skills
Superior accuracy/attention to detail
Intermediate to Advanced knowledge of Zoom, WebEx and Skype
Minimum of 5 years as an Administrative Assistant
Minimum educational requirement of high school diploma. College Degree or Business School Certification is preferred
