Your Opportunity
This position is to serve in a role as Senior Project Manager Assistant during the construction administration on a significant, hospital replacement project in San Jose, California. The project includes a ground up a six-story, 640,000 sf replacement bed with a program of 303-beds, a 72-room Emergency Department, 10 Operating Room Suite, a Central Utility Plant, a 1,000-stall parking structure, and complex site improvements.

The role requires timely, accurate, and professional project and administrative support to architectural leadership and project management staff in keeping with Stantec's high standards. This role requires to be co-located on the construction site a minimum 3 days per week working in a very collaborative team environment with fellow architects, designers, engineers, contractor, major sub-trades, and the client. The project is scheduled to be complete in 2030.
Upon completion of the project, you will continue to be part of our thriving healthcare practice supporting all aspects of the project process from validation/pre-design through construction administration and close-out within Acute, Sub-Acute, Outpatient, and Clinical Laboratory Healthcare projects. Along with your Project Manager(s), you will support multiple projects at any time, within various phases of design and construction.
Your Key Responsibilities
Maintain HCAI login to eServices Portal. Support related tasks including:
Process Project Review Plan Review Applications.
Assist in development of TIO. Coordinate information provided by Team Members.
Process LOA / NSC documents
Process Building Permit Applications
Process Contractor / DPOR / IOR supplantations.
Process Verified Reports.
Process Project Close Out Documents.
Process ACDs.
Maintain NMA logs.
Provide Construction Administration support to the Project Team including:
Maintain Submittal Logs. Route and track submittals.
Maintain RFI Logs. Route and track submittals.
Support project communication for the Team.
Maintain eBuilder login. Support Project Team including:
Process Action Items. Open / Close / Manage Action Items.
Route RFIs
Route Submittals
Assist with Meetings, including set-up via MS Teams, taking meeting minutes and notes, finalizing notes, and distributing meeting minutes.
Support general project organization including:
Tracking milestones
Maintaining project schedules
Assist with project invoicing and billing reports.
Qualifications
Your Capabilities and Credentials
Professional experience in the architecture/engineering/planning industry is preferred.
Strong working knowledge of Microsoft Office with expertise in Outlook, Word, and Excel and Teams
Working knowledge of Newforma preferred.
Familiarity with the 7 typical architectural design phases: Pre-Design, Schematic Design, Design Development, Construction Documents, Permitting, Bidding, Construction Administration.
Working knowledge of eBuilder and HCAI eServices Portal preferred.
Ability to deftly manipulate data within spreadsheets and database systems.
Strong knowledge of business communication standards for email, correspondence, and telephone etiquette.
Strong detail orientation and ability to organize and prioritize a diverse array of assignments and duties.
Ability to operate standard office equipment.
Strong verbal and written communication skills.
Ability to maintain a professional, polished appearance and demeanor.
Excellent interpersonal skills.
Education and Experience
Associates degree or higher in related field.
5 years' experience in a professional office environment or equivalent combination of education and experience.
Professional experience in the architecture/engineering/planning/construction industry is preferred.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.

Salary Range(s):
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
